Adding and managing stock at branch level

Say which products a shop sells and how many of each it has.

Before you start: The product must already exist in your catalogue to load a whole catalogue at once.

Where to find it: Branches → your branch → Stock tab


The two layers

It helps to keep these apart:

  • Your catalogue (Back office → Stock) defines each product once for the whole business — its name, description, price, categories, taxes and pictures.
  • Branch stock (Branches → a branch → Stock) says which of those products this particular shop carries, and how many it has.

Creating a product doesn't put it in any shop. Deleting it from a branch doesn't remove it from your catalogue.

The Stock tab isn't shown on plans that only include payments.


Adding a product to a branch

Steps

  1. Go to Branches and open the branch.
  2. Select the Stock tab.
  3. Click + Product at the top right. A panel slides up from the bottom of the screen showing your whole catalogue.
  4. Find the product you want — the Search for product box at the top of the panel searches by name.
  5. Click Add on that product's row.
  6. In the Add quantity dialog, enter the Quantity the branch is holding.
  7. Turn on Auto update if you want the quantity to drop automatically as the product is sold. Leave it off to keep the figure fixed until you change it yourself.
  8. Click Save.

You can add several products in a row — the panel stays open until you click Close.

What happens next

You'll see "Item added to the branch successfully" and the product appears in the branch's stock table with its quantity.

Changing a quantity

Steps

  1. Go to Branches → your branch → Stock.
  2. Click the product's name, or open the row's actions menu and choose Details.
  3. A window opens headed with the product name. Change the Quantity.
  4. Turn Auto update? on or off as needed — it's described as "Auto-update stock quantity".
  5. Click Save, or Cancel to leave things as they were.

The rest of the window is read-only and comes from the catalogue: Product name, Price, Unit of measure, Date added, Last updated, Available online? and Age restricted?. To change any of those, edit the product itself.

What happens next

You'll see "Success!", the window closes and the row shows the new quantity.


Removing a product from a branch

Steps

  1. Go to Branches → your branch → Stock.
  2. Open the row's actions menu and choose Delete.
  3. A "Delete stock" prompt asks "Are you sure?"
  4. Click Delete to go ahead, or Cancel to keep it.

What happens next

You'll see "Stock deleted" and the product leaves this branch's stock list. It stays in your catalogue and at any other branch that carries it.


Exporting branch stock to a spreadsheet

Steps

  1. Go to Branches → your branch → Stock.
  2. Click Download CSV at the top right.
  3. Wait for the file to download — the button shows a spinner while Wollette gathers the rows.

What happens next

You'll see "Export successful" and a CSV file downloads, named after the branch. It contains one row per product with these columns: Product name, SKU, Quantity, Sale price, Currency, Cost price, Cost price currency, Barcode, Brand, Category, Description, Date added and Last updated.

The export always covers the branch's whole stock list — the Search for product box doesn't narrow it down — and it stops at 5,000 rows. If your branch has more than that you'll also see "Export limited to 5,000 rows. The file may be incomplete."
